Filenotes : Mindset & Culture Lab Meeting on 3 Sept 09

Date : 3 September 09

Venue : Gate 1 Offices, Putrajaya
Time : 9.00am to 11.30am

MATTERS DISCUSSED AND DELIBERATED

1. Lessons Learned from the past four (4) workshop sessions were deliberated based on feedback from
Rini+Selina+Reen+Kak Leha+Fauzi. The issues highlighted among others were last minute invitation for
the first session, the last minute changes of participants namelist due to rejections and deferment requests.

Action to be taken :
a. Rini+Reen+Kak Leha to manage the finalization of participants for all future workshop sessions. Ensure at any time the minimum number is at 50 pax.

b. Reen+Kak Leha to liase with others esp. HR Div on list of concurrent events organized by HR to mitigate
overlapping of participants' list.

c. Participants list Session 5 & 6 to be finalised by 9th Sept 09 for target invitation issuance on 15 Sept 09.

d. Fauzi to forward email on the info of fixed dates of future sessions to C&E lab.


2. Input from Right Eye

i. Prelim findings of the iClip sessions showed that majority of participants subscribed grouping to certain 'popular' and easily understandable values i.e Loyalty + Integrity + Professionalism. Predominantly, 'Cohesiveness' and 'Innovativeness' were observed to have attracted significantly lesser participants.

Action to be taken :

a. Reza proposed for us to embark on concept of ' Year of Innovativeness ' or 'Year of Cohesiveness' and
the rest of the other shared values to drive home the needed profound impact. Reza's words - Do what is
strong first and make it stronger.

b. Organize talks by personalities that are role models of the shared values.

c. Reward and Award initiatives recognizing and celebrating achievements.

d. Certificates of Participation to be distributed. Right Eye to propose the approach and effective method so
as to leverage on the opportunity of sparking interest in future attendees.

ii. Sustaining Efforts in Ramadhan - Right Eye to initiate proposals on the posters of group photos and some
critical flipcharts principles meant to grace and adorn the walls of Dayabumi + Menara PJH + Gate 1 offices.

iii. Lab members to identify and propose 'graduates' for affirmation interviews. Hisham to assist in managing
the input and output of this task. A framework needs to be drafted and proposed for lab members' next
deliberations.

iv. Right Eye proposed to create an e-group to encourage active interaction and communication among staff.

Other than the current blogspot, 'kickapps.com' is suggested. Further deliberations needed with the input of
Hisham and C&E lab.

3. Observations

i. 171 staff had attended and graduated from the past four (4) sessions.

ii. Analysis of the Shared Values presentations (flipcharts) to be carried out with input from Right Eye
and all Lab Members.

iii. To organize and propose the sessions for spouse and kids. Reza to write in officially for Lab's next action.

4. Findings from Right Eye

i. 5% feedback touched on proposals to include Islamic Values.

ii. Logistics - tight circulation space especially with the 55 pax in Session 4.

iii. Participants requested incorporation of Local Icons/ Flavour in the citing of examples.

iv. Overall 95% are positive feedback !
